Notarial Services Refund Policy

 Effective Date: November 2, 2022

At Sapphire Taxes & Signing Services LLC (“Sapphire Notary”), we are committed to providing exceptional service to our clients. This Refund Policy outlines the terms and conditions related to refunds for our notary and mobile services, including fees, policies, and additional charges.

  1. GENERAL REFUND POLICY

1.1 Notary Services Due to the nature of notary services, notarization fees are non-refundable once the service is completed. This includes cases where documents are notarized but rejected by a third party for reasons unrelated to our services.

1.2 Mobile Notary Services Refunds for mobile services are available only under the following conditions:

  • Cancellations made at least 12 hours prior to the scheduled appointment are subject to a $10 cancellation fee, with the remainder of the fee refunded when services are prepaid.
  • Refunds are not available for no-shows or if the signer refuses to sign.
  1. APPOINTMENT POLICY AND FEES

To ensure transparency, the following policies govern appointments and associated fees:

2.1 Base Mobile Service Fee

  • The minimum (base) fee for mobile notary services is $65, which includes the first $10 notarization (seal) fee.

2.2 Additional Notarizations

  • Additional seals are discounted at 50% ($5) after the first notarized signature per individual.

2.3 Travel Fees

  • Mobile services commencing from ZIP code 35068 incur travel fees based on the IRS mileage rate of $0.67 per mile (effective 1/1/24).
  • Round trips exceeding 30 miles are subject to additional fees.
  • Tolls, parking decks, or similar expenses are billed separately.

2.4 Document Fees

  • Printing of electronic documents and scanning of notarized documents is an additional $30 fee.

2.5 Late Arrival Fee

  • A “Late Arrival” fee of $10 applies for in-person or mutual mobile appointments if the client arrives or is ready 15 minutes late beyond the scheduled time.

2.6 No-Show and Refusal to Sign

  • The full-service fee is incurred if the signer refuses to sign or fails to appear at the scheduled meeting during a notary signing appointment.
  1. PROCESSING REFUNDS

3.1 Refunds will be processed within 7-10 business days of approval. 3.2 Refunds will be issued to the original payment method. If the payment method is no longer valid, alternative arrangements may be made at the Service Provider’s discretion.

  1. EXCEPTIONS

Refunds are not available for:

  • Completed notarizations.
  • Services canceled less than 12 hours prior to the scheduled appointment when prepaid.
  • Additional fees such as travel, printing, or late arrival charges.

Tax Management Refund Policy

    1. GENERAL REFUND POLICY

    1.1 Completed Services Refunds are not available for tax services that have been fully completed, including preparation, filing, or advisory services once they have been delivered to the client or submitted to the IRS and/or state agencies.

    1.2 Refunds for Errors In the event that an error on a completed tax return is attributable to Sapphire Taxes, we will correct the issue at no additional charge. Refunds may be considered only if the error cannot be corrected within a reasonable timeframe.

    1. CLIENT RESPONSIBILITIES

    The client agrees to the following to avoid refunds and errors:

    • Provide all necessary and accurate documentation required for tax preparation.
    • Notify Sapphire Taxes of any changes or errors in the provided information promptly.

    1. EXCEPTIONS

    Refunds are not available for:

    • Situations where the client fails to provide required documentation or respond to requests for information in a timely manner.
    • Delays caused by third-party agencies such as the IRS or state tax authorities.
    • Services where work has been substantially completed but the client chooses not to proceed with filing.

    1. DISPUTES

    In the event of a dispute regarding fees or services, Sapphire Taxes will make reasonable efforts to resolve the issue amicably. Clients may be asked to provide documentation to support their claims.

Accountancy Refund Policy

At Sapphire Taxes & Signing Services LLC (“Sapphire Bookkeeping”), we are dedicated to delivering professional and accurate accounting services. This Refund Policy outlines the terms and conditions regarding refunds for bookkeeping, financial reporting, and other accountancy services provided.

  1. GENERAL REFUND POLICY

1.1 Completed Services Refunds are not available for accountancy services that have been fully delivered to the client, including completed financial reports, reconciliations, or bookkeeping tasks.

1.2 Refunds for Errors If errors in financial calculations or reporting are directly attributable to Sapphire Bookkeeping, we will rectify the errors at no additional charge with the help of the client for clarity. 

1.3 Cancellation of Services

  • A 3-month commitment of services is required.
  • Cancellations made prior to the commencement of any work will be refunded in full, minus a $50 administrative fee.
  • Cancellations made after work has begun but before completion, will received a prorated refund basedon the portion of work completed, minus the $50 administrative fee. 
  • Cancellations of amicable services require a 30-day notice in writing.

2.1 Upfront Fees

  • All accountancy plans require one month’s retainer fee to commence service.
  1. PROCESSING REFUNDS

3.1 Refund Requests Refund requests must be submitted in writing via email to refunds@sapphiretaxnotary.com within 30 days of cancellation or identified service issue.

3.2 Refund Timeline Approved refunds will be processed within 7-10 business days and issued to the original payment method.

  1. CLIENT RESPONSIBILITIES

The client agrees to:

  • Provide complete and accurate financial documentation necessary for accountancy services.
  • Respond promptly to requests for additional information or clarifications.
  • Will not interfer with services that may cause delay.

Failure to provide accurate or timely information may impact the prposed timeline.

  1. EXCEPTIONS

Refunds are not available for:

  • Situations where the client fails to provide required documentation or respond to requests for information.
  • Delays are caused by external parties, such as financial institutions or other third parties.
  • Services where work has been substantially completed but the client chooses not to proceed further.
  1. DISPUTES

In the event of a dispute regarding fees or services, Sapphire Taxes will work with the client to reach a resolution. Supporting documentation may be required to evaluate the claim.

Entity Formation Refund Policy

At Sapphire Taxes & Signing Services LLC (“Sapphire Formation”), we aim to provide professional and accurate entity formation services. This Refund Policy outlines the terms and conditions regarding refunds for these services.

  1. GENERAL REFUND POLICY

1.1 Completed Services Refunds are not available for entity formation services once the process has been completed, including submission of documents to the relevant state or federal agencies.

  • You may request a refund of our service fee only.

1.2 Refunds for Errors If errors in filing or documentation are directly attributable to Sapphire Formation, we will correct the issue at no additional charge. Refunds may be considered only if the error cannot be resolved within a reasonable timeframe.

1.3 Cancellation of Services

  • Cancellations made prior to the commencement of any work will be refunded in full, minus a $50 administrative fee.
  • For cancellations made after work has begun but before completion, a prorated refund may be issued based on the portion of work completed, minus the $50 administrative fee.
  1. FEES AND ADDITIONAL CHARGES

2.1 Upfront Fees

  • All entity formation services require an upfront deposit based on the fees of the state’s filing requirement.
  • Said fees are non-refundable when payable to the state, federal or local governments.

2.2 Third-Party Fees

  • Third-party costs such as state filing fees, publication fees, or registered agent fees are non-refundable once paid to the relevant agencies or service providers.

2.3 Additional Services

  • Fees for add-ons such as EIN applications, operating agreements, or amendments to existing formations are non-refundable once the service has commenced.
